File Requests

What are File Requests?

File Requests can be used when you need users to upload files, or to upload files to a user's record. This could include certificates, permits, ID and so on.

Uploaded files are stored securely and are only accessible by the learner and organisation administrators.

File Requests are listed on a user's My Training page under their course enrolments and/or assigned forms.

Currently only image (e.g. jpg, png), PDF and MS Office documents (e.g. .doc, .xlsx) are supported.

How do they work?

The first step is to create a new File Request in the Portal Settings under Tools.

When viewing a Learner, click on the Files link at the top of the page. All File Requests will be listed here and can be assigned to the user as needed.

Uploaded files can be downloaded and viewed. New files can also be uploaded.

If a user has been assigned a File Request but hasn't uploaded a file an Administrator can send a reminder to the user (Request Upload).

Administrator only: Turn this setting on if the file request and uploaded files should only be visible to administrators.

Allow users to re-upload or delete: This enables the user to upload a new file or delete the file they have already uploaded.

Advanced

File Requests can be combined with Automations.
For example, if every user needs to upload a particular file, rather than an administrator manually assigning the file request to each user, an Automation can be set up to assign it when a user accesses the portal for the first time.
